Discovery
- Analyze source materials, content, formats.
- Identify client goals and specifications.
- Identify available technology options, workflows and approaches.
- Identify any potential pitfalls.
Present solutions
- Present and discuss a number of solutions.
- Harness available technology.
- Suggest possible workflow optimizations.
- Agree on solution most aligned with client needs.
Budget & timing
- Present statement of work with quote and timeline.
- Adjust to accommodate client needs.
- Return signed estimate and/or written approval.
- Receive all final source files with live text.
- Any significant changes from the original source files may require revising the estimate
- Final is key! Any changes to the content or layout after launch may result in delays and change request fees.
- We can handle almost all file formats, but prefer those that can be imported directly into translation environment tools for more efficient processing: INDD, PPTX, HTML, DOCX, XLSX, etc.
- Avoid using Word copy decks and Excel spreadsheets unless that is truly the final production format or the final production format cannot be imported into our tools (e.g. social media copy, graphics).
- InDesign handles foreign language typesetting much better than Illustrator or Photoshop.
Translation/Transcreation
- Supportive documentation. Client to provide any relevant creative briefs, glossaries, style guides and reference materials.
- Prep. The project team prepares files and creates project briefs with all relevant information.
- Translation. Technical translation or marketing/advertising transcreation. A language professional with subject-matter expertise crafts accurate, impactful and culturally-relevant content.
- Editing. A second linguist reviews the translation with a focus on grammar, spelling, and good flow.
- Quality control. The project team performs thorough quality control across all files and languages.
Linguistic client review
- Linguistic review, ideally by client representatives. Reviewers should be immersed in the target language and market and intimately familiar with their organization and products. Edits should be limited to correcting and improving the text.
- Regulatory review. If the industry falls under special regulations, regulatory review & approval should be performed now.
- Review content in bilingual Word copy decks. More cost- and time-efficient to handle reviews before production. Source text will be provided in PDFs for layout and context.
- Tracked changes, made clearly and consistently. This is necessary for our linguists to understand the reviewer’s intentions, update our files, and learn for future work. Anything that is unclear or deviates in meaning from the source will be flagged for further clarification.
Production & proofreading
- Multilingual production. Our production artists follow language-specific layout rules and choose appropriate fonts for any non-Latin scripts.
- Proofreading. The editor proofreads carefully to check for correct placement, omissions, flow, and language-specific issues.
- Quality control. The project team performs thorough quality control across all files and languages.
Layout client review
- Layout review. Client will check PDFs to ensure they meet their organization’s design expectations and requirements.
- Regulatory review. If applicable, a final regulatory review & approval should be performed now.
- Only minor (and necessary) linguistic edits are expected. It is much more time- and cost-intensive to make changes in production than in language files, so linguistic edits should be limited to the earlier linguistic review (4b). That said, sometimes a significantly better solution reveals itself when seen in layout, necessitating some linguistic changes at this stage.
- Marked-up PDFs with clear and consistent edits. This is necessary for our production team to understand your intentions and update the production files correctly.
- Final review & approval. You are presented revised layouts for final approval before delivery.
