Accessing the Quote Request Form

*Please note that fields marked with an asterisk are required. This allows us to gather enough information for an informed quote without a lot of back-and-forth via email.

  • *Project name: Provide a distinct name for your project that we can reference throughout all our communications

Timing & Scope
  • Quote due: By when you need this quote
  • Project due: By when the entire project has to be completed (incl. all steps, such as production or proofreading)
  • Files: Please upload source files whenever possible. If you have production files, e.g. InDesign or PowerPoint, those allow for a more accurate quote and a more efficient workflow, as we can work directly with these formats while avoiding copy & paste into and from Word copy decks.
  • Scope: In the absence of files, please provide a word count, number of files/pages, and any other information that could help us get an idea of the project scope.
*Requested Service(s)
  • Translation: For general content, technical materials, etc.
  • Transcreation: For anything marketing heavy, such as brochures, flyers, ads, taglines, etc.
  • Localization: For websites, apps or software
  • Copy editing: Third-party review of someone else’s translation for linguistic accuracy, technical and legal fidelity, and clarity of expression
  • Proofreading/QC: Proofreading text in layout to ensure proper display, grammar, spelling, and that the layout is appropriate for the language and culture. This is not the same as copy editing and does not check the accuracy of the translation.
  • Production: Adding translated text to English source/design files. If the text was not translated by us, we may need to include a translation check first. We always add proofreading after production to make sure we deliver a high-quality end product. We work with all media, e.g.:
    • Print Production: Typesetting/desktop publishing, file optimization, page layout adaptation, image editing
    • Digital Production & Engineering: Websites, software, apps, banner ads, e-mail campaigns
    • Audiovisual Production: Script adaptation, subtitling, closed captioning, dubbing, voice-overs, casting
  • Consulting: Multicultural consulting and creative services, e.g.
    • Consulting on strategy, cultural attitudes, norms and values, creative concepts and messaging
    • Naming, Branding & Identity linguistic & cultural evaluation, name ideation, graphic identity in various scripts
    • Art Direction & Design
  • Trados Studio / GroupShare support: Technical help and consulting on the implementation and use of Trados Studio or GroupShare

Please note that our translation, transcreation and localization services by default include translation/transcreation, editing, proofreading, and thorough QA at all touchpoints. If you are comparing estimates, please keep in mind that not all agencies use the same turnkey, high-quality approach.

*Target Language(s)

Choose as many languages as you need from the drop-down. Frequently requested languages are listed first, followed by most world languages in alphabetical order. If your language is not in the list, please choose “Other” and tell us about it under “Notes.”

Production File Format(s)

The format of the English source files. This may be InDesign, PowerPoint, Illustrator, etc. Even if you used a Word file as a copy deck or need a PDF as the final deliverable, we are interested in the actual format of the production/design files. Modern translation environments support many of these source formats directly without the cumbersome and error-prone copy & paste detour through Word copy decks. For instance, we can work directly from your InDesign or PowerPoint files, keeping intact their formatting and translating hidden text as needed.

*Client Review

Do you have someone who will review our work? We welcome and highly recommend this step to ensure that we conform with your organization’s style and terminology. It also generates stronger buy-in from your local representatives who are meant to use the translated materials in the end.

Ideally, a reviewer is someone who works in or with your organization, is familiar with your style and terminology, is a native speaker of the target language, and has a strong command of the source language.

Some organizations do not have this kind of resource and choose to use 3rd party reviewers. This is not ideal because these reviewers often do not have as much information about the client and the project as we do, and they may look for ways to prove that they could have done it better.

In both cases, we carefully review all feedback and flag anything that is not an improvement to the translation before implementing any changes.

*Production & Deliverables

Can we help you with the production of the content in layout? We strongly recommended this for non-Western alphabets, but we love doing it for all languages. It allows you to focus on what you do best while our experts work together to produce and proofread the foreign-language designs. No tedious back-and-forth between our proofreaders and your designers who may not understand the language they are working on, removing significant project management bottlenecks. Plus, we can often translate directly in the source production/design files, creating a much smoother workflow than the old copy & paste from Word copy decks.

If you’d like us to handle production, will the final deliverables be distributed online/digitally or in print form? This helps ensure that we maintain the correct color specs.
